What we collect when you apply, why, and how to have it deleted.
This policy explains what we collect when you apply for a job with us, why we
collect it, who else sees it, and how to get it deleted. It covers this hiring
site and the WhatsApp number we recruit on. It does not cover our main company
website.

Alara runs this hiring portal to recruit for its own roles. We are the
controller of the information described here. To ask anything about this policy,
or to have your information removed, email us at the address at the bottom of
this page.
When you apply. Your name, email address, phone number, city and province,
and confirmation that you are over 18. You tell us about your work setup
(computer, internet, backup power, a quiet place to work), your availability and
notice period, your experience, your English level, your current and expected
salary, and you write answers to a few questions about your work. Depending on
the role you may also give us links to your work, a code repository, or a call
recording.
Your WhatsApp number and consent. The application asks whether we may
contact you on WhatsApp. If you say yes, we keep the number you gave and the
time you agreed, so we can show that you opted in. If you say no, we do not
message you there. You can stop WhatsApp messages at any time by replying STOP,
and start them again by replying START.
Messages you send us. If you message our WhatsApp number, we keep the
conversation — what you wrote and what we replied — so that whoever picks up
your application can see the history.
If we progress you. Interview notes and scores written by our team, and the
outcome at each stage.
If we hire you. Identity details you provide during onboarding, the
documents you are asked to sign, and the signature you draw, together with the
date and the network address it was signed from. That last part exists so a
signature cannot later be separated from the record of who made it.
Automatically. Basic security information — your network address and the
time — when you submit a form, used to stop abuse and nothing else.
To assess your application, to arrange and run interviews, to tell you where you
stand, to make you an offer if we get that far, and to complete onboarding if
you accept. We also keep enough of a record to answer questions later about how
a hiring decision was reached.
We use AI in two places, and it is worth being precise about what it does.
An AI assistant answers messages on our WhatsApp number. It can tell you about
open roles, send you the application link, help you prepare for an interview,
and answer questions. When it hits something it should not handle, it flags the
conversation for a person and keeps talking to you rather than going silent. A
member of our team can take over any conversation at any point.
An AI screener reads applications and summarises them against the criteria we
have published internally for each role. It produces a summary and a suggestion.
No hiring decision is made by AI. Rejections, progressions and offers are
made by people. If you want a decision explained, ask us.
To do this we send the relevant text to Anthropic, which provides the AI model.
Your information is not used to train their models.
We do not sell your information, we do not share it with advertisers, and we do
not pass it to other employers.
If we do not hire you, we keep your application for 12 months so that we can
consider you for roles that open later, then delete it. If you would rather we
did not, say so and we will remove it sooner.
If we hire you, your application becomes part of your employment record and is
kept for as long as employment law requires.
WhatsApp conversations follow the application they belong to.
You can ask us to show you what we hold, correct anything that is wrong, or
delete it. Email the address below and we will do it. You do not have to give a
reason, and asking will not count against a live application.
You can opt out of WhatsApp at any time by replying STOP. That stops the
messages; it does not withdraw your application.
Access to applications is limited to the people doing the hiring, each with
their own account. Traffic to this site is encrypted. Signatures and identity
documents are stored with the record they belong to rather than loose on disk.
No system is perfect, and we would rather say that than claim otherwise.
If we change this policy we will update the date at the top. If the change is
significant and you have a live application, we will tell you.
To see what we hold about you, correct it, or have it deleted, email info@alarabenefits.com. We do not need a reason, and asking never counts against a live application.
